Your Agent Reads the School Newsletter and Updates the Family Calendar

A weekly PDF from school, automatically summarized and added to the family calendar. Set up in one conversation.

by The Agency

Every Friday afternoon, my kid's teacher uploads a PDF newsletter to the school platform. It has everything — what happened this week, what's coming up, field trips, no-school days, things to bring, deadlines.

I never read it in time. Sound familiar?

Now my agent reads it for me — every Friday evening it summarizes the newsletter and adds every upcoming date to the family calendar.

The entire setup

First, I saved my school platform login. In Settings, under Credentials, I added my username and password for the school's parent portal. That way my agent can log in on my behalf whenever it needs to.

Then I asked it to create the task:

Sample prompt
Help me create the following task, scheduled for Fridays at 18:00. I have already added the credentials. Log in to the school portal and go to the newsletter section at https://school.example.com/parent/messages. Download the latest weekly newsletter from teacher Anna Lindqvist. Summarize the information, highlight important details, and list all upcoming events. For all upcoming dates, add them to the Family calendar. Before adding an event, check that it doesn't already exist.

That's it. No code, no API docs, no browser extensions. Just a description of what I wanted, in plain language.

What the agent actually does

Every Friday evening, my agent:

  1. Logs into the school platform using saved credentials
  2. Downloads the latest newsletter PDF from the right thread
  3. Reads and summarizes the key information — what happened, what's important, what to remember
  4. Extracts every upcoming date — parent meetings, field trips, holidays, deadlines
  5. Checks the family calendar to avoid duplicates
  6. Creates calendar events for anything new

I get a clean summary delivered to me, and my calendar is already up to date. No clicking, no scrolling through PDFs, no forgetting.

How to set something like this up

If you want your agent to do something similar, here's the general pattern:

1. Connect your accounts

Go to Settings and connect Google Calendar (or whichever calendar you use). Then, under Credentials, add your school platform login — your agent stores them encrypted and uses them when it needs to log in on your behalf.

2. Create a task

Tell your agent what you want done. Be specific about where to find the information, what to do with it, and where to put the results. Include the actual URL so your agent knows exactly where to go:

Sample prompt
Help me create a task that runs every Friday at 18:00. I have already added the credentials. Log in to the school portal at https://school.example.com/parent/messages, download the latest weekly newsletter from Anna Lindqvist. Summarize it and add any upcoming dates to my Family calendar.

3. Let it run

Once the task is saved and scheduled, it runs automatically. You'll get the results delivered each time, and you can always refine the instructions if you want to tweak something.

This pattern works for more than school

The same approach works for anything that follows the pattern of "information shows up regularly and I need to act on it":

  • Club or team updates. Weekly emails from coaches or organizers, summarized with practice times added to your calendar.
  • Community newsletters. HOA updates, local council meeting agendas, with key dates extracted.
  • Work digests. Internal wikis or reports that get published on a schedule, summarized into a briefing.
  • Government or regulatory updates. Permits, deadlines, or policy changes you need to track.

The point isn't the specific school platform. It's that your agent can log into things, read documents, understand what matters, and take action. You just have to describe the job.

The best part

I set this up in a single conversation with my agent, during a coffee break. I didn't install anything, write any code, or read any documentation. I just described what I needed, the way I'd describe it to a friend.

That's what a personal agent should feel like.
